1. Who we are

2. What information we collect

When you ask for a quote or contact us, we collect:

• your name, email address and phone number;
• details of the vehicle, such as make, model, condition, approximate value and registration;
• collection and delivery addresses, preferred dates and anything else you tell us about the journey;
• emails, messages and notes of phone calls between us.

If you book, we also keep booking and payment records, and records of the vehicle's condition at collection and delivery. We do not store card details.

3. How and why we use it

We use your information to:

• reply to your enquiry and prepare a quote (lawful basis: taking steps at your request before entering a contract);
• arrange, carry out and invoice the transport (lawful basis: performing our contract with you);
• deal with insurance claims, complaints or disputes (lawful basis: our legitimate interest in protecting our business and your vehicle);
• keep accounting and tax records (lawful basis: legal obligation).

We do not use your details for marketing, and we never sell them.

4. Who we share it with

We only share information where it is needed to provide the service:

• FormSubmit, which delivers quote form submissions to our email inbox;
• Google Workspace, which hosts our email;
• Cloudflare, which hosts this website;
• our insurers, if a claim is made;
• ferry, tunnel and customs authorities, for European journeys;
• our accountant, and authorities where the law requires it.

Some of these providers process data outside the UK, including in the United States. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.

5. How long we keep it

If you ask for a quote but do not book, we delete your details after [[12]] months. If you book, we keep booking and financial records for six years after the end of the tax year they relate to, as required by HMRC, and then delete them.

6. Cookies

This website does not use advertising or analytics cookies. Our hosting provider, Cloudflare, may set strictly necessary cookies to protect the site from abuse. These do not track you across other websites and do not require consent.

7. Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to ask for it to be transferred to someone else. To do any of these, email info@secureautologistics.co.uk. We will reply within one month.

8. Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
